Inventory Performance Expectations –
Use reports and growth forecasting to determine the best purchase amounts for a healthy product turnover and avoid stock outages
Meet with vendor representatives to keep abreast with new products on the market, specials, etc.
Meet with veterinarians and staff to discuss best use of product and alternatives to promote product consolidation.
Stay current with product backorders, unavailability, and restrictions that may disrupt inventory process
Handle all purchasing activities complying with clinic policies
Handle inventory purchase requests from hospital personnel
Handle vendor selection, oversee that competitive pricing is being given
Handle purchase orders
Maintain appropriate levels of “quantity on hand”, “reorder level” and “reorder quantity” in our software system
Handle the organization of received orders and paperwork
Handle backorders and inaccuracies
Oversees all receipt of inventory items with inventory assistant
Handles or oversees distribution of inventory to the correct areas of the hospital
Handles or oversees rotation of stock supporting the “first in-First out” theory
Handles or oversees returns of overstock, short-dated, or outdated items to vendors for credit
Handles or oversees inventory counts
Handles or oversees the updating of computer sales prices to reflect accurate product markup or margin
Handles or oversees the minimization of product duplication and promote consolidation
Handles or oversees identification of waste within the inventory department and takes corrective action
Supervise and train other personnel who have responsibilities in inventory department
Develops protocols to promote efficiency and quality control
Accounts Compliance Performance Expectations –
Audit Appointments and Patient Visits
Look ahead at upcoming appointments, review the patient’s chart and make necessary medical notes for medical team for a successful patient visit
Audit live appointments and patient visits lists (PVLs) for incorrect and/or missed entries before the patient is checked out of hospital.
Audit in-hospital patient charts and PVLs for incorrect and/or missed entries.
Coach medical team and supervisors for trends of loss or improvements needed.
Document trending losses and develop protocols for quality control and capturing of charges
Audit Open PVLs
Assist Managers in auditing for any unnecessary open PVL’s
Audit open PVL’s for prescriptions that need to be put back in stock
Audit appointments through out the day for quality control
Document KPIs and charges captured while auditing
High School Diploma required
2-year College Degree and RVT preferred
Knowledge of veterinary services, protocols and products is preferred.
